How to Register a Co-Operative on CIPC in South Africa

A co-operative can be defined as a business where a group of people come together on a voluntary basis to solve their common needs. Before deciding to form a co-operative, you must first hold a formation meeting to settle on a shared purpose and agree to form one. To form a basic co-operative, there must be at least five natural persons, two juristic persons, or a combination of any five persons. In these guidelines, you will find everything you need to know to Register a Co-Operative on CIPC.

Register as a Customer

Step 1- Get Started

Go to eservices.cipc.co.za and click on “Customer Registration”

Step 2- Identification

Indicate if you are a South African citizen or not and fill in the required information

Step 3- Personal Information

Fill in your personal information in the space provided and when done, click on the register

Step 4- Confirmation

You will then receive your confirmation message and your customer code

Name Reservation

To Register a Co-Operative on CIPC you first need to complete a name reservation, follow these easy steps to complete the name reservation process.

Step 1- Get Started

Visit www.cipc.co.za and click on “Online Transacting” then on “e-Services”

Step 2- Customer Login

On the left-hand side of the screen, click on “Customer Login” and then enter the required details

Step 3- Name reservation

Once the landing page has successfully opened, click on “Name Reservation”

Step 4- Proposed Name

Proceed and click on “Proposed Name”

Step 5- Reserve Names

Enter the name up to 4 names in the order that you prefer to reserve and then click on “Submit Proposed Name”

Step 6- Name Availability

You will then be notified if the preferred name is available or is already registered and indicated so with the red “X”. Once done click on the “Lodge Name Reservation”

Step 7- Name Reserved

On this landing page, you will receive the confirmation code that your name has been successfully reserved.

Registration Process

Step 1- Get Started

Go to www.cipc.co.za and click on “Online Transacting” then on “New e-Services”

Step 2- Login

Complete your Login details and click on “log in”

Step 3- Start new operation

When the langing page loaded, click on the “Services” tab and then on the “Co-Operations” link

Click on the “Start New Co-Operation Application” to make a new application.

Step 4- Confirmation

A pop-up will ask confirmation on starting a new application, click “OK” to continue

Step 5- Type of Co-Operation

If you have not yet reserved a name follow here to follow our easy-to-use guide on reserving a name. In the case you already have reserved a name select the form of Co-Operative and the type of Co-Operative on the bottom of the page.

Step 6- Objectives

Click on the “+” symbol below the type of Co-Operative to add the objectives of the Co-Operative. A screen will pop-up to ask if you want to add your own objectives, if you reply Yes then add your own objectives, if you reply No then chose from the objectives from the dropbox

Step 7- Co-Operative Details

Fill in the required details provided in the space below regarding the details of the Co-Operative and click on Next when done.

Step 8- Financial details

Fill the required financial details in the space below and click on next.

Step 9- Adding Members

Fill in the member details in the space provided below. You can add a juristic or neutral person by clicking on the “+” icon on the left-hand side of the screen.

Step 10- Neutral Member Personal Details

When adding members in the desired roles, you will need to provide the member’s personal details in the space provided. Click on next when information is provided and then “Save and Finish” or “Save and add another neutral member” to add more neutral members.

Step 11- Add a Juristic Member

To add a juristic member click on the “+ Juristic member” icon and fill in the required information of the member.

If the juristic is a trust click on the “trust” box and fill in the information required, then click on “Add Juristic Member”.

Step 12- Add a Auditor

To add an Auditor click on the “+ Add Auditor” on the bottom of the page and then click on the auditor’s name and then add. Afterwards, click on Next.

Step 13- Members Recap

The next page will give a summary of all the members added. Members can be added and also removed from this page. Later members may be added on this page, when members have been added click on Next on the bottom right-hand side of the page

Step 14- Member Details Confirmation

The next screen will indicate if all the information for the members has been fulfilled (shown with the checkmark) or requires information (shown with an X symbol). Click on submit when all information is given.

Step 15- Name Reservation

The next screen will show all approved name reservations and the desired name should be chosen. If no names are shown then the name reservations are not approved.

A confirmation message will appear to confirm the desired name, click “OK” to proceed.

Step 16- Co-op1 form

Please note that the process is not done yet. An email from the Co-op1 and Constitution will be sent to the email provided in the Co-Operative you provided.

Step 17- Submit the Co-op1 form

Fill in the required information and then resubmit it under the CIPC services, then Co-operatives, then pending document uploads. Click on the specific co-operative then upload the Signed Constitution and Co-ops form1

Upload the documents and click on “Save and Close”. The application will be under review.

Step 18- Payment after acceptance

After the request was approved, you will receive an email from CIPC and now awaiting payment. Go to “Finances” and then select all unpaid items by clicking on “+ Add item” and then on “Proceed to payment” on the bottom right-hand side of the screen to complete the transaction

Step 19- Payment successful

You will receive a message that the payment was successful

Step 20- Registration email

You will receive the registration documents via email and have successfully completed Register a Co-Operative on CIPC.

To Register, a Co-Operative on CIPC fee is R175 and consists of R50 name reservation (compulsory) and a R125 registration fee
